We use the tool called Google Sites to create and store all of our systems. This is what it looks like. What’s great about Google Sites? You’re probably wondering what is it? Basically, it’s a private website. Think of it like an internal website just for your company. Sometimes, these are often called Intranets wherein you get a special link, with the username and password of your preference. Since the website is company based, you have the discretion on the content you want to place in your site.
Be Creative with Your Content
Google Sites is a fully functioning website that lives on an unlisted URL. No one can find it other than you and your staff. Once your login is configured, your staff could see the systems that they need in order to run the various aspects of your business. What I love about Google Sites is, you can put any type of content into your account. So every time you have a new system, you set up a page. Once that page is created, you can put in any content like words, checklists, mind maps, screenshots. You can also put in photos, videos, flowcharts, and documents. It’s a fantastic place to store all of your systems.
Again, when you come along to ’52 Ways’, I’ll actually show you how it works. I, in fact, log into my own Google Sites account to show you all the systems that we have. Right now we have over two hundred and ninety systems within our business, and they’re all stored here. I don’t have to hold all that stuff in my head. As the actual business owner, my staff can go in and basically learn what they need to know in order to do their job effectively.
